Privacy-First Approach
Diwadi is designed with privacy as a core principle. Core file processing features — document conversion, image compression, video compression, and data tools — run entirely on your local device, and by default your files are not transmitted externally. However, if you use optional AI-powered features, only the specific content you submit (prompts and any files you ask AI to analyze, such as PDFs, images, or documents) is transmitted to your chosen AI provider (OpenAI, Google Gemini, or others) for processing. We do not collect or store your personal information.
1. Introduction
Diwadi ("we," "our," or "the Application") is developed and maintained by Vysakh Sreenivasan as an independent desktop application. This Privacy Policy describes our practices regarding any data collected through your use of the Application.
2. Information We Do NOT Collect
Diwadi is designed to protect your privacy. We explicitly do NOT collect:
- Personal Information: We do not require or collect names, email addresses, phone numbers, or any other personally identifiable information
- Account Information: There is no user registration, login, or account system
- Payment Information: Diwadi is free software and does not process any payments
- Long-term Storage: We do not permanently store your queries, prompts, or AI responses on our servers
3. Information We Collect
The Application collects minimal, anonymous telemetry data to improve the user experience:
3.1 Anonymous Usage Events
- Feature usage (e.g., which features are used most often)
- Application events (e.g., application started, closed)
- Error events (e.g., crashes, failed operations)
- User interface interactions (e.g., buttons clicked, screens viewed)
3.2 Technical Information
- Operating system type and version (e.g., macOS 14.0, Windows 11)
- Application version (e.g., v0.1.0)
- General device type (e.g., desktop)
- Performance metrics (e.g., load times, memory usage)
3.3 Anonymous Identifiers
A randomly generated, anonymous identifier is created to distinguish unique installations. This identifier:
- Cannot be linked to your identity
- Is generated locally on your device
- Helps us understand usage patterns across different installations
3.4 Website Analytics
In addition to the desktop application telemetry described above, our website (diwadi.com) uses the following third-party analytics services to understand how visitors interact with the site:
PostHog
We use PostHog to collect anonymous analytics on website interactions, including:
- Pages visited and navigation patterns
- Button clicks (e.g., download buttons, call-to-action links)
- Scroll depth on pages
- UTM campaign parameters (if you arrived via a marketing link)
- Outbound link clicks
PostHog uses cookies and localStorage to maintain session continuity. No personally identifiable information is collected.
Microsoft Clarity
We use Microsoft Clarity to collect anonymous session analytics, including:
- Session recordings (anonymized replays of how users navigate the site)
- Heatmaps (aggregate click and scroll patterns)
Clarity helps us identify usability issues and improve the website experience. Session data is anonymized and cannot be linked to your identity.
4. How We Use Collected Information
The limited telemetry data we collect is used solely to:
- Understand which features are most valuable to users
- Identify and fix bugs and errors
- Improve application performance and stability
- Make informed decisions about future development priorities
We do NOT use this data for advertising, marketing, or any other commercial purposes.
Where applicable under GDPR or similar data protection laws, we process anonymous telemetry and analytics data based on legitimate interest (product improvement and service reliability). Where local law requires consent for analytics or cookies, we will obtain it before collecting such data.
5. How Your Data Flows
5.1 Local Processing (No Data Leaves Your Device)
The majority of Diwadi's features run entirely on your local device. For these operations, your files never leave your computer:
- Document conversion (Markdown to PDF, Word, HTML)
- File format conversions (DOCX to Markdown, PDF to Markdown)
- Image compression and format conversion
- Video compression and format conversion
- CSV/Excel/Parquet data processing
- Mermaid diagram rendering
- All file editing and preview features
These features work completely offline and require no internet connection.
5.2 AI-Powered Features (Requires Internet)
When you use AI-powered features, your prompts and any files you ask AI to analyze are sent to your chosen AI provider. You can select from multiple providers in the app settings:
- OpenAI (GPT models)
- Google Gemini
- Other providers as they become available
How it works:
- Your prompt (and any files you're asking AI to analyze) is sent from the Diwadi app to our servers
- Our servers forward your request to your selected AI provider's API
- The AI provider processes your request and returns a response
- Our servers relay the response back to your Diwadi app
Important Data Handling Notes:
- Your prompts and any files you ask AI to analyze (PDFs, images, documents) are transmitted to the AI provider
- Files processed locally (conversions, compression) never leave your device
- Data passes through our servers but is not permanently stored
- Data on our servers is deleted after processing your request
- We do not use your data to train models or for any other purpose
- Your chosen AI provider may temporarily retain data for abuse monitoring or operational purposes — see their privacy policy for details (Section 6)
- Your data is subject to your chosen AI provider's data usage policies (see Section 6)
5.3 Local Storage
The following data is stored locally on your device by Diwadi:
- Application settings and preferences
- Your selected AI provider configuration
- UI state and layout preferences
- Conversation history (stored locally on your device only)
6. Third-Party Services
6.1 AI Providers
Diwadi allows you to choose your preferred AI provider for AI-powered features. When you use AI features, your prompts and any files you ask AI to analyze are sent to your selected provider:
OpenAI
- Your prompts and files are transmitted to OpenAI for processing
- OpenAI's data usage policies apply to your data
- According to OpenAI's API policy, data submitted via the API is not used to train their models
- OpenAI may retain data for up to 30 days for abuse monitoring
Google Gemini
- Your prompts and files are transmitted to Google for processing
- Google's AI data usage policies apply to your data
- Review Google's Gemini API Terms of Service for details
Additional AI providers may be added in future updates. Each provider's data handling policies will apply when you use their services.
Important: We recommend reviewing your chosen provider's privacy policy. For OpenAI, see OpenAI's Privacy Policy and API Data Usage Policy to understand how your data is handled.
6.2 Other Services
- Analytics Service (Desktop App): We use PostHog to collect anonymous usage and interaction analytics from the desktop application (as described in Section 3). This data is anonymized and cannot be linked to your identity.
- Analytics Service (Website): We use PostHog and Microsoft Clarity to collect anonymous website analytics including page views, click interactions, and session recordings (as described in Section 3.4).
- Update Service: The application checks for software updates. Only your current version number and operating system type are transmitted.
7. Data Security
We take the security of your data seriously:
- Local Processing: Most features run entirely on your device - files processed locally never leave your computer
- Encrypted Transmission: When using AI features, all data transmitted between your device, our servers, and AI providers uses industry-standard HTTPS encryption
- No Permanent Storage: Your prompts and files pass through our servers for relay purposes but are not permanently stored
- Prompt Deletion: Temporary data on our servers is deleted after processing. Note that third-party AI providers may retain data temporarily under their own policies
- Secure Storage: Configuration data and preferences stored on your device use secure local storage
- Regular Updates: Security updates are released regularly to address potential vulnerabilities
However, no method of data transmission or storage is 100% secure. While we implement security measures, you are responsible for:
- Maintaining the security of your device and network
- Not sharing sensitive or confidential information in AI prompts or files that you're not comfortable being processed by AI services
- Understanding that data transmitted to AI services is subject to their security practices
8. Data Retention
- Local Processing: Files processed locally (conversions, compression) never leave your device and remain under your control.
- Telemetry Data: All telemetry data is anonymous and contains no personally identifiable information. It is retained for up to 2 years solely for analytical purposes (e.g., understanding feature usage and fixing bugs). You may request opt-out options in future releases.
- AI Data (Diwadi Servers): Your prompts and files sent for AI analysis are not permanently stored on our servers. They are deleted after processing and forwarding to your chosen AI provider.
- AI Data (AI Providers): AI provider retention is governed by their own policies and may include temporary storage for monitoring or abuse prevention. For example, OpenAI may retain API data for up to 30 days. Review your provider's privacy policy for details.
- Local Data: Data stored locally on your device (settings, preferences, conversation history) remains until you delete the Application
- Data Deletion: You can delete locally stored Diwadi data by uninstalling the Application. For data processed by AI providers, refer to their data deletion policies.
We recommend that you review your chosen AI provider's privacy and data retention policies for details on how they retain and use submitted data. Diwadi does not control the retention practices of third-party AI providers.
9. Children's Privacy
Diwadi is not directed to children under the age of 13. We do not knowingly or deliberately collect any information from children. If you are a parent or guardian and believe your child has provided data through the Application or website, please contact us and we will take steps to remove such information.
10. International Users
Diwadi is a desktop application that runs locally on your device. Since we collect minimal, anonymous telemetry data and no personal information, international data transfers of personal data are generally not applicable. However, if we process any information subject to jurisdictional data transfer rules (such as GDPR), appropriate safeguards will be applied in accordance with applicable law.
11. Cookies and Tracking Technologies
Our website (diwadi.com) uses cookies and similar technologies (such as localStorage) to enable analytics tracking. Specifically:
- PostHog sets cookies and uses localStorage to maintain anonymous session continuity and distinguish unique visitors
- Microsoft Clarity may set cookies to support session recording and heatmap functionality
- UTM campaign parameters from marketing links are stored in sessionStorage for the duration of your browsing session
You may control or disable cookies through your browser settings. Disabling cookies may limit our ability to collect website analytics but will not affect your ability to browse the website or use the Diwadi desktop application.
The Diwadi desktop application does not use cookies. The cookie usage described here applies only to the diwadi.com website.
